CLEAN BEST GROUP PTY LTD(“Clean Best”, “we”, “us”) provides commercial and residential cleaning services across Sydney and New South Wales. We respect your privacy and we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy explains what personal information we collect, why we collect it, who we may share it with, how we keep it secure, and how you can access it, correct it or complain about how we have handled it. It applies to our website at cleanbestgroup.com.au and to every enquiry, quote and cleaning job we carry out.

What personal information we collect

We only collect personal information that we reasonably need in order to quote for cleaning work, carry it out, invoice for it and support you afterwards. Depending on how you deal with us, that may include:

  • Your name, business or property name, email address, phone number and the suburb or street address of the premises to be cleaned.
  • Details you give us about the site — floor area, surfaces, access arrangements, alarm and key procedures, cleaning frequency and any special requirements.
  • Records of our dealings with you, including quotes, scopes of work, service schedules, supervisor audit notes, complaints and how we resolved them.
  • Billing information such as your invoicing contact, ABN and payment records. We do not store full credit card numbers on our systems.
  • For job applicants and cleaners: identity and work-rights documents, National Police Check results, Working with Children Check details where the role requires one, qualifications, references, and payroll and superannuation information.
  • Technical information collected automatically when you visit our website, such as your browser type, device type, pages viewed, referring page and approximate location derived from your IP address.

We do not collect sensitive information (for example health information) unless it is directly relevant to the service — for instance, an allergy or a chemical sensitivity you ask us to work around — and we will only collect it with your consent.

How we collect it

Most personal information is collected directly from you: when you call 1300 494 983, email hello@cleanbestgroup.com.au, complete the quote form on this website, meet us for an on-site assessment, or deal with your supervisor during a job. We may also collect information from your building manager, strata committee or managing agent where they are arranging the cleaning on your behalf, and from referees and screening providers when we are recruiting cleaners.

Our website uses cookies and similar technologies for basic functionality and, where enabled, for analytics that tell us which pages people read and how they found us. You can block or delete cookies through your browser settings; the site will still work, though some functionality may be reduced.

Why we use it

  • To respond to your enquiry and prepare a quote.
  • To arrange and carry out cleaning services, including rostering the cleaner assigned to your site and giving them the access instructions they need.
  • To supervise and audit the work, investigate complaints and put things right.
  • To invoice you and keep proper financial records.
  • To meet our legal, insurance, work health and safety, and employment obligations.
  • To improve our services and, where we are permitted to, to send you information about our services. Every marketing message includes an unsubscribe option and we act on it promptly.

Who we disclose it to

We do not sell personal information, and we do not trade or rent contact lists. We may disclose your information to:

  • Our cleaners and supervisors, so they can access and service your site.
  • Service providers who help us run the business — for example our accounting, payroll, email, scheduling and website hosting providers — under obligations of confidentiality.
  • Your building manager, strata committee, managing agent or landlord where they are a party to the cleaning arrangement.
  • Our insurers and professional advisers, where relevant.
  • Government bodies, courts or regulators where we are required or authorised by law to do so.

Some of our service providers may store data on servers located outside Australia. Where that happens, we take reasonable steps to ensure the overseas recipient handles your personal information in a way consistent with the Australian Privacy Principles.

How we store and protect it

Personal information is held in our business systems and, where records are kept on paper, at our office at 77 Garfield Street, Wentworthville NSW 2145. We take reasonable steps to protect it from misuse, interference, loss and unauthorised access, modification or disclosure — including access controls so that staff only see what their role requires, secure storage of site access details such as alarm codes and key procedures, and confidentiality obligations for every cleaner and supervisor.

We keep personal information only for as long as we need it for the purposes described above, or for as long as the law requires us to. When it is no longer needed, we destroy it or de-identify it.

Accessing and correcting your information

You can ask us what personal information we hold about you and request a copy of it. You can also ask us to correct anything that is inaccurate, out of date, incomplete or misleading. We may need to verify your identity before we release information. If we refuse a request — which is rare, and only happens where the law allows or requires us to — we will tell you why in writing and explain how to complain about that decision.

Data breaches

If we become aware of a data breach that is likely to result in serious harm to any individual whose personal information we hold, we will investigate it promptly, notify the affected individuals and report it to the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

Complaints

If you think we have mishandled your personal information, contact us first. Email hello@cleanbestgroup.com.au or call 1300 494 983 with the details and we will acknowledge your complaint, investigate it and give you a written response, usually within 30 days.

If you are not satisfied with our response, you can take the matter to the Office of the Australian Information Commissioner (OAIC), the independent regulator for privacy in Australia. Their contact details are published at oaic.gov.au.

Changes to this policy

We review this policy from time to time and may update it as our services, systems or legal obligations change. The current version is always published on this page with the date it was last updated at the top.
